buying checklist.

Five sections. 27 checks. Everything we tell TMF clients to work through before they sign anything — whether they use us for finance or not.

Before you make an offer

  • Confirm the machine is genuinely needed (versus hire or a different asset class)
  • Run a repair-vs-replace analysis if replacing existing kit
  • Check the asset against your contract pipeline — will the work actually pay for it?
  • Get a realistic valuation (not just asking price)
  • Verify the seller has clear title and no undisclosed finance

Inspection and condition

  • Physical inspection by a qualified mechanic or OEM specialist
  • Hour meter verified and consistent with service history
  • Service records reviewed — oils, fluids, regular intervals met
  • Undercarriage (tracks, tyres, wear parts) assessed honestly
  • Test under load where practical, not just idle walk-around
  • Operator cab condition (electronics, air con, ergonomics)

Documentation

  • PPSR lien check completed — no prior security interests
  • Evidence of GST status (private sale vs GST-registered seller)
  • Import documentation complete if purchased from overseas
  • Registration and compliance plates current
  • Warranty documentation for newer machines

Finance and tax

  • Structure confirmed with accountant before signing
  • Chattel mortgage vs lease decision locked in
  • Balloon / residual sensible for your hold period
  • GST treatment planned (claim upfront vs spread across lease)
  • Contract-aligned structure if the asset backs specific work
  • Insurance quoted and confirmed before settlement

Settlement and handover

  • Final walk-around inspection before funds release
  • All keys, manuals, accessories included
  • Service history handed over
  • Seller sign-off on condition at point of handover
  • PPSR discharge confirmed if replacing previous finance
